JOB TITLE: Administrative Assistant

JOB STATUS: Full-Time
JOB DESCRIPTION: The Adams County Arts Council is looking for a full-time experienced Administrative Assistant. The responsibilities for this role include, but are not limited to: acting as a first point of contact with members; managing internal and external calendars and schedules; editing and proof-reading documents; providing research support on various topics, preparing presentation materials and documents using Microsoft PowerPoint, Word, Excel, and other applications; overseeing the development of marketing materials as requested; providing telephone support; maintaining contact lists; maintaining and processing correspondence, contracts and files; supporting the management of the organization and completing special projects as assigned. Assist with creation and editing of presentations and newsletters. Compose letters and memoranda and prepare reports using knowledge of admin procedures. Prepare materials for art and culinary classes, events, and programs. Handle cash, checks, PayPal and credit card transactions. Prepare outgoing mailings and mail merging. Weekly inventory of office and event supplies. Managing and prioritizing office tasks and assigning necessary tasks for Support Staff. Assist staff members with various tasks and projects as needed. Daily reviewing and/or editing of Arts Council Facebook, Twitter, and Instagram accounts.Updating and maintaining mailing lists. Creating flyers, brochures, and other literature for classes and events as needed. Reviewing and editing website daily for broken links, outdated information and event updates.
JOB QUALIFICATIONS:
Ability to organize and prioritize numerous tasks and complete them efficiently if there are time constraints. Ability to multi-task and complete work in a timely, accurate and thorough manner. Ability to proofread typed material for grammatical, typographical or spelling errors. Professional telephone and customer service experience assisting with operational and membership requests. Ability to set-up and maintain filing systems and purging files annually. WordPress experience. Constant Contact experience preparing monthly newsletter and weekly updates. Have excellent verbal and written communication skills, extensive knowledge of office equipment, social media, internet, and website editing. Proficiency in Microsoft Suite including Outlook calendaring. Artistic abilities, background, or interest a plus. Ideal candidates should conduct themselves in a professional and polite manner, be quick-thinking and resourceful, can manage multiple tasks simultaneously, remain calm under pressure, and be able to thrive in a fast-paced environment. A qualified candidate must possess two to four years of administrative experience.
